Q: How do I access my degree audit in Degree Works?
- Start by logging in to your HVCC WIReD account.
- Select “Enrollment, Financial Aid, Student Accounts and Student Services”
- Select “Degree Works.”
- Degree Works will then open and display your most recent audit.
Q: Can a student print and save their Degree Works audit?
A: Audits may be printed using the print icon on the screen, but it is recommended to first save the audit as a PDF and then print the PDF, as that format is designed for viewability and saving.
Q: Why is a check mark missing near a requirement completed?
A: Please reach out to your academic advisor if you are missing a check mark on a completed requirement, and they will determine whether your audit is correct and contact the appropriate academic department as needed.
Q: I am a non-degree seeking student. Why does Degree Works tell me no audit is available?
A: Degree Works is currently only available for matriculated students (students seeking a degree or certificate).
Q: My academic record shows me as a non-matriculated student, but I requested a major change with the Admissions Office. When can I expect my major change to be reflected in Degree Works?
A: Check with the Admissions Office. If there is a discrepancy, they will work to fix it.
Q: With all the boxes on my Degree Works checked, will I be graduating?
A: This is not a guarantee. If you have applied to graduate by completing a degree application with an academic advisor and the application has been submitted to the Registrar’s Office, the Registrar’s Office will perform an audit of your program after all final grades have been submitted for the semester to determine if you are eligible to graduate or not.
Q: What classes should I take for the upcoming semester?
A: Your audit will provide guidance on the courses you still need to complete your program requirements within each specific block. This information can be used to discuss your plan with your academic advisor. It is important to remember that Degree Works shouldn’t take the place of working with an academic advisor.
Q: Can I see a list of the classes I've taken at HVCC?
A: Yes. From the worksheet tab, select the “Class History” link at the top, and select the three vertical dots to access a printable summary list of courses taken at HVCC and any transfer courses. Your academic transcript can provide further course information.
Q: Can I see what courses are being offered in Degree Works?
A: Yes. If you select a linked course or requirement, a window will appear showing courses that are available.
Q: I just registered for next semester, and the courses registered for are not appearing in Degree Works. Why not?
A: The information in Degree Works is refreshed on a nightly basis. Changes made to our student information system (for example, course registration and final grades) should be viewable in Degree Works the next business day.
Q: Can I register for courses in Degree Works?
A: No. Degree Works is a planning tool, showing past, current and “planned” schedules, as well as completed and outstanding requirements. Registration can be completed through WIReD or with the assistance of an academic advisor.
Q: If I withdraw from a course, will this course be seen on my Degree Works?
A: When you withdraw from a course it will appear in the “Courses with Insufficient Grades” block on your worksheet on Degree Works.
Q: What are some reasons why my transfer course work is not meeting a requirement?
A: There could be multiple answers for this. The course may not meet a grade requirement to be applied to your program of study. If all requirements have been met, the course may not be needed. There might also be a delay in processing your transfer credit. If you have any questions regarding the placement of transfer credit, please reach out to your academic advisor, who can review and help determine next steps.
Q: My transfer work shows in a different requirement, but my advisor had advised me that it met this requirement. Who would be able to provide me with assistance with this concern?
A: Please reach out to your academic advisor to review any corrections you believe need to be made to your Degree Works. We work through various student exceptions with academic advisors, and would be glad to review your academic history with them.
Q: I just transferred to HVCC and cannot see my transfer credits applied to Degree Works.
A: Degree Works and our student information system (Ellucian Banner) work in conjunction. Transfer work is entered manually by staff in the Registrar’s Office; it will appear on Degree Works after that step has been completed. If there was a course substitution, or an academic department initiated a change, paperwork may be waiting for approval or currently in progress. If you have submitted official transcripts for all of your transfer courses, you should be able to see current program-applicable transfer courses and credit earned in Degree Works by end of your first term in attendance or sooner.
Q: Is the calculated GPA in Degree Works guaranteed by the GPA Calculator?
A: The GPA calculator provides an estimate only, not a guarantee. The results are meant to be a guide. Certain courses have unique impacts on transcripts; those will not be reflected in these calculations.
Q: Where can I find my program GPA?
A: A student’s program GPA is based on coursework used to complete their major requirements. The program GPA can be viewed in the major block requirements of your audit, toward the right side in the header for the block.
Q: What are the courses that are included in the “Insufficient” block on my Degree Works?
A: Courses that do not meet a minimum grade requirement depending on your program of study or do not have credit that is associated with them will appear in the “Insufficient” block. Any courses that you withdrew from would be listed as withdrawals (W) in this block as well.
Q: My credits from one course are splitting in different requirements. Why?
A: To maximize credits for a course. For example, if not all credits from a course are needed to fulfill one requirement, the additional credits may sometimes be placed to meet another. Please consult with your academic advisor for details on your specific situation.
Q: Why do courses I have taken appear in the “Not Counted” block of Degree Works?
A: HVCC allows up to 70 percent of your program requirements to be fulfilled with transfer credits. When your transfer credits exceed the 70 percent limit, the excess transfer credits will appear as “Not Counted”. If you believe you have transfer credits that should apply to your program but are currently appearing in “Not Counted,” please reach out to your academic advisor.
Q: What does an “exception” indicate in Degree Works?
A: Exceptions reflect modifications for a requirements or a course substitutions that have been applied to your program. Once exceptions are processed, adjustments to degree requirements will be visible on your Degree Works worksheet.
Q: After my program changes, do exceptions made to Degree Works still apply?
A: Exceptions are relevant only to the program for which they were approved. If your program changes, a new exception will need to be approved.
Q: What does the @ symbol mean when it appears on the worksheet?
A: The @ symbol is like a “wild card” in Degree Works. When the @ has course numbers after it (Ex.: @ 100:200), you can take any subject within the number range. When @ appears following the subject, any course can be taken within the subject area; for example, ENGL @ indicates that any English course can be taken. When @@ (double) is followed by an attribute or general education, any subject and/or number with the attribute can be taken. For example, requirement @@ with Attribute FREE means any Free Elective course can be taken.
Q: On my audit, “Credits Applied” indicates more credits than I have completed. Why?
A: Degree Works includes in-progress courses, future courses that you are registered for, and courses that you have completed in the past. All these courses together make up the “Credits Applied” area in Degree Works.
Q: What is the process that is used by Degree Works to decide where to place my completed courses or my in-progress courses on my degree audit?
A: Degree Works looks at your program as a whole, and then places each course using a computerized scenario, but it is not perfect. Courses may apply to various sections as you take more courses at HVCC. if a course doesn’t appear in a block you were expecting on Degree Works, contact your academic advisor for guidance.
Q: When should my Degree Works audit be reviewed?
A: You should review your Degree Works audit during the following times:
- Before you meet with your advisor.
- Before the registration period to plan for the upcoming semester.
- After you register for courses to verify courses have been applied to your program.
- When a change to your major takes place.
- After final grades process.
- Before applying for graduation, review your academic record with an academic advisor.
Q: How is a prerequisite for a course shown on Degree Works?
A: If a course has a prerequisite, it displayed by a clipboard with a check next to the number of the course. If you select the course, the pop-up box that is displayed will provide information about the prerequisite.
Q: How would a course that I repeated display on Degree Works?
A: When a student repeats a course, the highest grade earned for the course will be used to meet the program requirements. The highest grade will also be the grade that appears on your worksheet. Once the repeated attempt is completed, the lower grade earned for the course will be excluded from your GPA calculations and placed by Degree Works in the block titled “insufficient,” and neither used toward total hours or meeting a program requirement. A repeated course will be designated with a “R”.
Q: Where is the overall GPA found on Degree Works?
A: Your overall GPA can be seen toward the left in the second block. Your overall GPA includes all courses you have earned credit for, not just courses in your program of study.
Q: When I look at my Degree Works requirements, my in-progress courses are being used. Is this correct?
A: Yes. Your in-progress courses would be used toward your requirements in Degree Works and would be counted in the “Credits Applied” section, found in your major block.
Q: Would my Degree Works audit be considered an official college document?
A: No. The audit displayed on Degree Works is a resource to help you track your progress, but is not an official college document.
